How Clinic OS Pro uses cookies and similar technologies
Last Updated: October 22, 2026
Clinic OS Pro (a business name registered in Ontario, Canada, BIN 1001580753) uses cookies and similar technologies in the Clinic OS Pro web application (app.clinicospro.com). Our marketing website, clinicospro.com, has its own cookie policy at clinicospro.com/cookie-policy.
This policy explains what the application uses, why, and how you can control it.
What Are Cookies?
Cookies are small text files stored on your device. They help websites:
- Function securely and reliably
- Remember preferences (like language and theme)
- Understand how people use the site (analytics, if enabled)
How We Use Cookies
1. Essential Cookies (Required)
These are needed for the app and secure sign-in to work. They do not require consent. Cookie names starting with __Secure- or __Host- are sent only over HTTPS.
| Cookie Name | Purpose | Duration |
|---|---|---|
| __Secure-authjs.session-token | Keeps you signed in. The session ends after a period without activity, and always within 12 hours of signing in | Up to 12 hours |
| __Host-authjs.csrf-token | Protects sign-in against cross-site request forgery | Browser session |
| __Secure-authjs.callback-url | Returns you to the page you asked for after you sign in | Browser session |
| __Secure-authjs.pkce.code_verifier | Secures the Sign in with Google step | 15 minutes |
| __Host-cos.2fa-remembered | Remembers that this browser passed two-step sign-in, so the code is not asked again on this browser for a while, separately for each user | Up to 30 days |
| cos.signout-reason | Tells the sign-in page why you were signed out, for example after inactivity | 30 seconds |
| viewing_clinic_id | Platform administrators only: which clinic's account they are viewing | 24 hours |
| cookie-consent, analytics-enabled | Store your cookie choices | 1 year |
Without these, you cannot sign in or we cannot honor your cookie preferences.
2. Functional Cookies
The application sets no functional cookies. The few preferences it keeps are in your browser's local storage, described below.
3. Analytics and Advertising Cookies
The application sets no analytics or advertising cookies, and it loads no analytics or advertising scripts. The cookie banner records your choice about optional analytics, but nothing is loaded either way.
No ad tracking around PHI. We do not use advertising or social media tracking pixels in logged-in areas of Clinic OS Pro.
Local Storage
The application also keeps a few values in your browser's local storage:
- cookie-consent, cookie-preferences – your cookie choices
- sports-pt-onboarding-seen – whether you have seen the welcome guide
- cos.lastActivity, cos.lastActivityReport, cos.signedOut – times your open tabs share, so that you are signed out after inactivity in every tab at once
It also uses session storage, which your browser clears when you close the tab, for two small values that stop a page from reloading in a loop. None of these values holds patient data, and we do not send them to third parties.
Managing Cookies
Browser Settings
You can control cookies via your browser (view, delete, block). Blocking essential cookies may prevent you from using Clinic OS Pro.
Browser-Specific Instructions
Changing Your Choice
To change your cookie choice, clear this site's cookies and local storage in your browser. The banner then asks again the next time you visit (clearing cookies also signs you out). In jurisdictions requiring consent, we do not set non-essential cookies until you have opted in.
Third-Party Cookies
Some services we use may set their own cookies, for example:
- Stripe – payment processing, when you open checkout
- Google – on Google's own sign-in page, if you choose Sign in with Google
These providers have their own privacy and cookie policies. We do not allow third-party advertising cookies on logged-in pages where patient data may be present.
Do Not Track
Some browsers send a "Do Not Track" (DNT) signal. Where technically feasible, we treat a DNT signal as an opt-out of optional analytics cookies.
Changes to This Policy
We may update this Cookie Policy from time to time. Changes will be posted here with an updated "Last Updated" date.
